Why dashboard drillthrough details do not match the total
Drillthrough acceptance should prove that detail belongs to the same record set as the total. Working navigation alone does not prove matching filters.

When a dashboard total and its detail page disagree, establish whether both are calculating the same set of records. Passing a department name to another page is not enough. Period, organizational identity, status, metric definition and permissions can all change the result. Acceptance should demonstrate the relationship between the two record sets, not merely show that clicking a card opens a list.
Reconstruct every effective condition
Imagine a card showing confirmed September order value for a northern region, while the destination opens all orders for the current month. Both pages may work technically, yet the interaction contradicts its label. Record the stable organization identifier, date boundaries and business-date field, confirmation state, currency, unit, definition version and source batch used by the total.
Conditions may come from visible controls, role rules, default dates, a selected chart legend or page initialization. List the effective conditions rather than copying only two dropdown values. A destination default should not silently replace a transmitted condition. Give developers and reviewers the same context record so that a later disagreement can be traced to a particular field rather than to a vague claim that the pages should match.
The same set does not always imply the same row count
| Total | Relationship to detail | Check |
|---|---|---|
| Order value | Sum of eligible order amounts | Amounts and cancellation rules |
| Distinct customers | A customer set, not an order count | Deduplication by customer identifier |
| Completion rate | Actual and target components | Recalculated numerator and denominator |
| Average handling time | Eligible completed events | Start/end times and exclusions |
Do not require every detail-row count to equal the number on the card. State whether one row means an order, customer or processing event. Amounts, ratios and distinct counts have different reproducible relationships. If the list is paginated, distinguish the current-page subtotal from the total for the complete eligible set.
Permissions constrain available detail
A management role may legitimately see an aggregate without access to personal records behind it. Do not bypass authorization to make the numbers appear to reconcile. Explain the restricted detail scope or provide permitted grouped evidence. An organization identifier in a URL is a filter input, not an authorization grant; the destination service still needs to check the user's access.
The official Power BI drillthrough guidance calls for matching source and target fields and checking relationships that affect filter propagation. A custom dashboard likewise needs its actual query inspected. Identical labels on two screens do not prove that the same fields or conditions were used underneath.
Choose a time basis for changing data
New orders can arrive after the card was calculated, so a live detail view may reasonably contain additional records. Choose either a shared snapshot or an explicit latest-data recalculation. Do not promise exact reconciliation while querying two unrelated batches. A strict snapshot requires suitable retention and query support from the backend and should be agreed before implementation.
Returning to the card should restore its filters and reading position for continuous analysis. An intentional refresh may move to a new batch, but the displayed value and context should change together. Exports need the same effective conditions as the detail page; exporting must not quietly reset the range to the whole year or the entire company.
Prove the chain with included and excluded records
Create a small dataset that can be checked manually. Include records outside the organization, outside the date window, unconfirmed, cancelled and inaccessible to the test user. Open the card and verify the appropriate exclusions, then change role and month. Check back navigation, directly opening the detail address and exporting separately. Retain query conditions, record identifiers and the expected aggregate.
